Where it breaks

A small sample of the problems we hear most often in agency and brokerage. Not a complete list, and not all of them will be yours.

  1. 01

Portal leads answered when someone's free

Enquiries arrive in the evening, because that is when people look at houses. They sit until somebody opens the CRM the next morning, and by then the same applicant has enquired on three other properties.

  2. 02

The same five questions, five hundred times a month

Budget, area, timescale, chain, funding. A negotiator asks them on every call and types the answers into the CRM, when they remember to.

  3. 03

Viewing feedback the vendor has to ask for

Six viewings on a Saturday get written up on Monday, if at all. The vendor rings on Tuesday wanting to know what people said.

  4. 04

Nobody knows which stock is moving

Reduce the price or re-shoot the photos? The evidence is in the portal stats, the viewing count and the offer history, in three separate places, so it gets decided on instinct.

  5. 05

A third of agreed sales never complete

The offer goes to solicitors and the agent spends the next twelve weeks project-managing two law firms, a lender and a surveyor, none of whom work for them. Roughly a third of it collapses, most of it on no completion no fee, and almost nobody can say where in the process their own sales actually die.

  6. 06

The disclosure rulebook was withdrawn and the duty wasn't

Agencies spent three years rebuilding listing processes around the material information guidance, and it was withdrawn in May 2025 when the regulations under it were repealed. The duty to disclose survived, on a lower evidential bar, with no sector-specific definition of what has to be disclosed. Most firms are still using the withdrawn parts as a checklist because it is the only structure anyone has.

What we'd build

A small sample of the kind of thing we build. What we'd actually scope depends on which of the problems above is costing you most.

  • Every enquiry answered in minutes, at any hour

A voice and message agent takes the enquiry when it arrives, qualifies against your criteria, books the viewing into the diary and writes it all to the CRM. Negotiators start the day with appointments already made.

Higher enquiry-to-viewing conversion, more instructions won, and nothing lost to the evening.

  • Feedback captured at the door

The negotiator talks for thirty seconds after each viewing. The vendor gets a written update that evening, in your tone, without anyone drafting it.

Vendors updated the same evening, chasing calls gone, and instructions that stay with you.

  • Stock decisions off the actual numbers

Views, saves, viewings and offers per instruction in one view, with the properties that have gone quiet flagged and a recommendation attached.

Faster price decisions, shorter time on market, and less stock going quiet unnoticed.

  • Sales progression that chases itself

Every deal between offer and exchange tracked against whoever owes something, chased on schedule by an agent, with the deals going wrong surfaced before they fall through. And a record of where your fall-throughs happen, so next year's are a rate you manage rather than weather.

A lower fall-through rate, faster exchanges, and less work done for no fee.

  • A dated record of what you disclosed

The disclosable facts for a listing assembled from the seller's answers, the title, the EPC and what's publicly available, with the gaps flagged before the property goes live and the whole thing dated. If a disclosure gets challenged two years later the answer is in a file rather than in somebody's recollection.

Listings complete first time, and a disclosure challenge answered from a file rather than from memory.
